How to add someone to a Teams meeting if you are not the organizer?

When the recipient receives the meeting request, it appears to come from the meeting organizer and the meeting organizer receives notification that you forwarded the meeting.

Organizer’s view – If you’re the meeting organizer, we’ll alert you when someone is waiting in the lobby, Click Admit to let them right into the meeting, or View lobby to admit or deny them, as well as see a list of everyone who’s waiting. Note: Anyone who joins the meeting and doesn’t have a Teams account will be labeled Meeting guest, which is different from those with guest access to your organization.
- In the meeting invite, select Click here to join the meeting,
- If you don’t already have the Teams mobile app, you’ll be taken to your app store to download it.
- Download and open the app. If you have an Android device, open the app right from the app store page. If you have an iOS device, tap the meeting link again to open the app. Teams will ask if it’s okay to use your mic. Be sure to allow it so others in the meeting will be able to hear you.
- Next, you’ll be given two options for joining your meeting: Join as a guest or Sign in and join, Choose Join as a guest,
- Type your name and tap Join meeting, For the next step, the meeting organizer or their administrator may require you to sign in with an authorized account to join the meeting. For example, if this is a school meeting you may need to sign in with your school account. Or if the meeting is part of a conference, you may need to use a conference-authorized account.
- Depending on how the meeting was set up, you may be able to enter the meeting now. OR If you see a screen similar to this, sign in with the mentioned account. OR You may see this screen, and should sign in an account that was authorized for the meeting
Once you’re in the meeting, you can turn your video or mic on or off by tapping on the center of your screen to show the meeting controls. Tap again to hide them.
Can anyone let someone into a Teams meeting?
Choose who can bypass the lobby – As the meeting organizer, you get to decide who gets into your meetings directly, and who should wait for someone to let them in. If you choose to have people wait, you (and anyone else allowed to admit people) will see a list of people in the lobby. From there you can choose whether to admit or deny them.

Can you invite non Teams users to a meeting?
If you want to invite external users to an active meeting, you’ll need to copy the invitation link and send it to them via an email notification.
Can you invite someone to Teams outside of organization?
Sometimes you’ll want to collaborate with people who aren’t in your team’s organization. If you want to collaborate with them in Teams, you can add them as a guest. Guests have fewer capabilities than team members or team owners, but there’s still a lot they can do.

How to join a Teams meeting as an external user This article is for users who do not have a Microsoft 365 app. External users who do have a Microsoft 365 account can join a meeting in the usual way through the Teams app.1. Add co-organizers to a meeting – To add co-organizers to a meeting, make sure the people you want to add are already required attendees then follow the steps below:
- Select your meeting and then choose Edit,
- Select More options > Meeting options,
- On the meeting options page, next to Choose co-organizers, select the down arrow and choose the name of the additional co-organizer(s).
- Select Save at the bottom of your screen.

Organizer : The person who creates and owns the meeting. Presenter : Nominated meeting attendees who can present at the meeting and perform other actions such as admitting people waiting in the lobby or sharing content. Attendee : Other meeting participants whose actions during a meeting are controlled by meeting settings (for instance, is chat available).
The co-organizer role fits between organizer and presenter in terms of what they can do during the meeting. Like the presenter role, the co-organizer role is optional. It is intended to allow an organizer to share the workload involved in managing large or,
Compared to the presenter role, the most important capability gained by co-organizers is being able to access and modify meeting options. It’s likely that co-organizers will only be nominated in a small minority of Teams meetings. Some of these meetings might be better run as Live events, especially when view-only attendees kick in after the attendance passes the 1,000 threshold.
Microsoft makes this point in MC297608 (November 11), saying that ” For larger meetings, and especially for any meeting over 1,000 attendees, Microsoft recommends using Teams Live Events,” In other words, spreading the load across a bunch of co-organizers might not make a large meeting as manageable as a live event would be. Access and change meeting options. Bypass the lobby. Admit people from the lobby during a meeting. Lock the meeting. Present content. Update another participant’s meeting role. End the meeting.
In preview from December 2022 and expected to be generally available in January 2023 (MC481829, ), co-organizers can:
Create breakout rooms. Configure room settings, including appointing additional Breakout Room managers. Assign participants to breakout rooms. Add and remove breakout rooms from a meeting. Open and close breakout rooms Send announcements to participants in breakout rooms. Rename and delete breakout rooms.
Teams meeting co-organizers cannot:
View and download attendance reports. Edit the meeting invitation. Manage the meeting recording. Remove or change the Organizer role.
People have pointed to the inability of holders of the co-organizer role to update the details of a meeting. Although Microsoft might allow co-organizers to update meeting details in the future, for now, a, Microsoft says that a co-organizer cannot manage the meeting recording.
Well, this is true if the organizer starts the recording because Teams then creates the video file in the Recordings folder of the organizer’s OneDrive for Business account. However, if a co-organizer starts the recording, they become the owner of the recording because Teams creates the file in their OneDrive for Business account.
This is the same as what happens when a presenter starts a meeting recording. I suspect the advent of the Teams meeting co-organizer role will pass by many people without being noticed. That isn’t to say that giving meeting organizers the chance to share work with co-organizers isn’t valuable: it is, but only in circumstances where the work involved in a meeting like a webinar merits more than a single organizer.
Can you Organise a Teams meeting on behalf of someone else?
You can schedule online meetings or conference calls on behalf of another person if you have been set up as a delegate on that person’s Microsoft Outlook messaging and collaboration client account. If you haven’t been set up as a delegate yet, you can contact your support team or help your manager set up delegate permissions on his or her own computer.
